The Coffee Drink Cost Calculator for Cafe Owners

The calculator is one line of arithmetic

Every drink cost calculator you can find online is the same sum wearing a different interface:

cost per drink = sum of (amount poured x cost per unit)

That is it. There is no second formula. What makes a real number instead of a guess is not the calculator, it is the two inputs: knowing what a gram of your beans costs, and knowing how many grams actually go in the cup.

Which is why "about a dollar" is the answer most owners give and almost none of them can defend. So here is the sum run to the bottom on three drinks that behave completely differently, with the arithmetic visible so you can swap your own prices in. The numbers below are from a shop about the size of mine and are meant as a worked example. Your invoices will say something else, and yours are the ones that count.

Step one: turn a purchase price into a cost per unit

Every ingredient arrives priced in a unit you do not pour. You buy beans by the pound and pour by the gram. You buy milk by the gallon and pour by the ounce. Cups come 1,000 to the case and leave one at a time.

So the first column of any drink calculator is a division you do once per ingredient and then reuse forever.

Two conversions carry most of the work in a cafe:

  • A pound is 454 grams. Beans at $16 a pound is $0.0352 a gram. An 18 gram double shot is about $0.63 of coffee.
  • A gallon is 128 ounces. Whole milk at $5.20 a gallon is about $0.041 an ounce. Oat at $2.85 for a 32 ounce carton is $0.089 an ounce, which is more than twice as expensive per ounce as the dairy.

Do this for your top 20 items and stop. The long tail of stir sticks and napkins moves a drink cost by fractions of a cent and will eat your evening.

💡 Price the pack, not the case

If an invoice line reads "oat milk, 12 x 32 oz, $34.20," divide twice: $34.20 over 12 is $2.85 a carton, then $2.85 over 32 is $0.089 an ounce. Doing it in one step is where the ten-times errors come from, and a ten-times error on your biggest ingredient line is invisible until you reprice the whole menu around it.

Three things in that table are worth pausing on.

The paper is $0.18 of a $1.22 drink, about 15 percent, and it is the line owners most often leave out entirely because it does not feel like an ingredient. It is also the line that moves without warning when a supplier switches you to a different lid.

The milk is a third of the cost of a hot latte, and that is with the cheap milk in it. Swap this drink to oat and the milk line goes from $0.41 to $0.89.

At 40 oat drinks a day that is about $19 a day, near $7,000 a year, on a modifier that in a lot of shops is either free or charged at $0.75. Whether that is the right call is a pricing question, and it is the one pricing off your recipes instead of the menu next door is meant to answer.

Drip coffee, cost per cup

Drip is the drink everyone assumes is nearly free, and the sum runs differently because you do not brew one cup, you brew a batch.

Take a 64 ounce batch at a 1 to 16 ratio. 64 ounces of water is about 1,892 ml, so the dose is about 118 grams of coffee. At $0.0352 a gram that is $4.16 of beans in the brewer.

Now the part per-cup estimates skip: you do not get 64 ounces back out. The grounds keep some, and after retention you have roughly 57 servable ounces, which is 4.75 cups at 12 ounces.

Add the cup at $0.11 and the lid at $0.04 and a 12 ounce drip costs about $1.03.

Then the honest adjustment, and it is the whole reason this section exists. That figure assumes every ounce brewed gets sold. If you dump the last third of a batch at closing, or brew a fresh one at 4 PM for the two people who might come in, your real cost per sold cup rises by exactly the share you poured away. Dump 20 percent and $0.88 of coffee becomes $1.10.

Drip is a waste problem, not a cost problem

The beans in a drip cup are cheap. The batches nobody drank are not. Count how many brews you dump in a week before you spend any time optimising the ratio, since the dumped batches are almost always the larger number.

Cold brew, where the batch changes everything

Cold brew has the same batch shape as drip plus two extra places to be wrong: grounds retention and dilution. Both have to be measured once in your own setup, because published ratios will not match your yield.

Working example. One pound of coffee, $16, steeped at 1 to 8 by weight in about 123 ounces of water. The spent grounds hold roughly twice their own weight in liquid, so you pull off around 91 ounces of concentrate.

A 16 ounce iced cold brew built with 6 ounces of concentrate, water, and ice costs $1.05 in coffee. Cup, lid, and straw add about $0.21, so the drink lands near $1.26, which is more than the latte and roughly nothing like the "cold brew is just coffee and water" instinct.

Measure your own yield once. Weigh the batch out, weigh what you actually pour off, and write the number in your recipe. Every cold brew cost estimate that skips this step is wrong by however much liquid your grounds keep, which in my experience is more than anyone guesses.

The line most calculators leave out

Run the three drinks above and you have a menu costed. You still do not have your food cost, because none of those drinks went out the door the way you costed it.

The modifier is the missing line. Your calculator prices "latte." The register sold an iced oat latte with an extra shot. Those are different drinks with the same receipt total, and the difference is real money: $0.48 for the milk, plus whatever your dose is at 3.5 cents a gram for the shot.

The arithmetic on a modifier is not hard, it is the same sum again. What is hard is knowing how often each one happens, and that is not something a calculator can hold, because it is a fact about your tickets rather than your recipes. A spreadsheet gives you the cost of a drink. Your Square gives you how many of each version you actually sold. Multiplying those two together is where a costed menu becomes a real food cost, and it is exactly where the gap between a clean recipe cost and the number on your invoices shows up.

Cost the base drink first, then add one line to your sheet per modifier, then find the swap counts. In that order.

Build it once, then only touch the price column

The sheet that lasts has two tabs. Tab one is ingredients: purchase unit, purchase price, unit conversion, cost per unit. Tab two is drinks: one row per drink, one column per ingredient, each cell an amount multiplied by a lookup into tab one. A ready-made version with the columns already laid out will save you the setup.

Built that way, a price change is one cell. When oat goes from $2.85 to $3.10, you type it once and every drink that pours oat reprices itself, and you can see in a second which ones just crossed a line. Built the other way, with the costs typed into each drink, a price increase is an hour of hunting and you will not do it, which means by spring you are pricing a menu off last year's invoices.

Start with one drink today: your best seller. Weigh the dose, measure the pour, look up what the cup actually costs, and run the sum. If the answer surprises you, it usually surprises people in the same direction, and the drink you sell most of is the one where being wrong costs the most.
